Brief
The primary driver for the relocation programme for this Scottish local authority was the development of a new headquarters building, coupled with a building decommissioning and disposal strategy designed to streamline the authority’s property portfolio.
Achievements
Initially, MovePlan was engaged to conduct a full storage assessment and implement an aggressive reduction programme, something which had never before been undertaken in the Authority. A comprehensive Records Management Survey was undertaken which identified some 6,300 linear metres of filing to be relocated. A Records Management Report was prepared, outlining a organisation-wide file reduction programme, which was enacted by staff through the 60 ‘Departmental Representatives’.
Shortly into this file management programme, MovePlan secured the move management contract as well. Working with the Project Team, the complex move programme was reviewed and revised by MovePlan to reduce risk; for example, contingency ‘spare’ weekends were built into the schedule to allow IT some contingency in the event that early movers experienced serious problems with connectivity, etc.
MovePlan embarked on a detailed Communications Programme, to ensure that all Departments were kept fully updated on all major issues and to ensure the momentum of file clear-outs was maintained throughout Regular ‘Departmental Representative’ meetings were chaired and recorded by MovePlan, providing one clear forum whereby Departments could raise queries or concerns, and in which MovePlan could then disseminate up-to-date information back to the floor.
Due to ongoing industrial relations issues, communications with staff were severely curtailed, particularly in the weeks immediately preceding the move. However, by working closely with ‘Departmental Representatives’ and senior staff, MovePlan was able mitigate the potential disruption this could have caused.
As a result of this highly successful project, MovePlan currently holds a three year contract to provide move services for future Authority moves.
