MovePlan has delivered (and continues to deliver) major projects for a major financial institution in the United Kingdom, Ireland and the United States. These projects include rolling out the Client’s new ways of working project, pioneering new initiatives in desk sharing and flexible working.
Achievements
MovePlan were first appointed to manage the relocation of 4,000 staff from 17 locations to two new sites in the Manchester area. The moves took place over 26 move weekends and all filing, IT equipment and personal belongings were seamlessly relocated. Construction delays required a high level of flexibility resulting in the move phases being condensed and MovePlan reprogrammed the move weekend to ensure zero downtime, incorporating 24 hours working and high security requirements for the Client’s operational teams.
The redevelopment of the Client’s international headquarters in the US resulted in 3,500 staff moving into new accommodation. The project commenced with a feasibility study during which MovePlan undertook extensive fact finding and produced a detailed migration plan. A wide ranging communications programme was developed and rolled out, which ensured that staff and management were kept engaged, motivated and informed throughout the project. The flexibility of the MovePlan methodology and the clear understanding of the Client’s requirements enabled the team to develop 'watertight' procedures for the delivery of the move weekends.
MovePlan subsequently planned and managed the relocation of approximately 3,500 staff from 10 buildings within the Birmingham area. MovePlan worked closely with the user representatives to ensure that all operational constraints were included in the move process e.g. 'staggered' shut down times, specialist equipment moves etc.
High profile moves in Ireland include the relocation of the dealing room which required exceptional contingency planning, including Saturday evening deadlines and individual sign-off of every desk to ensure zero downtime achieved. Part of our remit with the Client has been to manage the relocation of high value art works as part of a refurbishing process. With our sub-contracted removal company, we have developed a detailed procedure covering cataloguing, protection packing and tracking while in transit, including the provision of GPS systems in all removal vans.
Other projects in the UK included the extensive restacking of one site to make room on the 900 person trading floors for the teams coming in. The back office staff were moved to another site which involved a similar realignment. The project team had strict deadlines to hit in order to save large amounts of money by clearing occupied floors. Any delay to the project would have had a massive impact on the expected budgets. MovePlan worked with the project team to ensure that the staff were moved efficiently into areas which had been cleared and prepared for the moves. Over the initial transition period 4,000 people and 1,000 extra pieces of equipment were relocated between floors and buildings.
